Compress PDF Files Using These 5 Steps

  • Open your chosen PDF compressor

First, choose which PDF compressor you’ll be using. Some compressor tools can be used online while others may require you to install their app on your device before you can use it. You must also be mindful of the size limit some compressor tools may have. For example, some PDF compressors may only reduce files with a size of no more than 100MB. If your PDF file is more than 100MB, you’ll need to look for another compressor tool that can cater to that size.  

  • Select the PDF file to compress

Next, find the PDF file that you wish to compress. If you’re using a PDF compressor tool with a size limit, check the size of your PDF by clicking the file’s properties. From there, you’ll see all necessary information about your PDF document and its file size. Note that large PDF documents may take longer to open or upload in your compressor tool due to their size. Once you’ve selected a PDF file, you can upload it on your compressor. 

  • Select a compression level

After you’ve uploaded the PDF file, select the compression level or file size you want to reduce. The compression level will determine the file’s new size and how much it will be compressed. 

The default compression level or medium-level compression is the standard option for compressing PDF files containing a lot of texts and images. You may choose this level if you need to reduce the size and retain its quality.  

If you want to compress the file to the smallest size possible, you may opt for a high compression level. However, with this option, the graphics or images in the PDF document may not look as good because of reduced quality. But if you don’t mind the changes to the image quality or if the PDF document doesn’t have any images or graphics, you can choose this option anytime. In case you only need to reduce the size a little bit to preserve the file’s quality, go for a low compression level. 

  • Click the compress button

After you’ve picked the compressed file size, you may click the compress button and wait for the app to start the compression process. This may take several minutes, depending on how large the original file size is. Once it’s complete, you’ll be notified with a message and the updated size of your newly compressed file. If the new size is still too large, repeat the previous steps and try a different compression level. 

  • Rename before saving your file

At this point, the compressor tool has already reduced your PDF file’s size. To save the PDF file, click ‘save as’ rather than clicking ‘save.’ This way, you can rename the file and keep the original PDF file instead of replacing it. Then download the compressed PDF in any chosen folder to your device.
