Things to Consider when Choosing an Event Venue

Organizing an event is a difficult job, You are confronted with more than one decision. The most important decision you need to make is the venue of the event as it has a large impact on your event. Not just the date of the event but catering and attendees pleasant experiences are all determined by the venue you select for your event. As intimidating as this may sound, It is important to keep a few guidelines in mind. Here are some that will help you book the right venue for your party or event:

LOCATION

First, determine the type of event you are about to host. If it is a corporate party or employee-only event then you must choose a venue that is near to the office and can be easily accessible via public transport. For events like conferences, trade shows, and other conventions, you are required to pick a venue near an airport and comfortable accommodations as no matter if they are an industry professional or sale representative, they need a place to make transfers easily.

CAPACITY

You don’t want your guests to stumble into each other or feel exhausted. It is important to first take note of a number of people who are going to attend your event. Then find a location that can accommodate all of them so that they don’t feel dwarfed by it.

AMENITIES

The location of your event is also determined by the amenities your venue provides. Amenities are a priority as they will meet the desire of your event. The first amenity you should look for is parking, look for a venue that has an ample amount of space to let your attendees park their car. Pick-up and drop-off points, reserved spaces in public parking lot can often pay off for a venue that is without a parking lot. The second amenity to look out for is the layout of the venue. It should consist of easy and accessible entrances, restroom, tables, stage and serving stations that will affect the flow of your event. You should also pick up a space that coincides with the season of your event as some places are meant for summers while some are meant for winters. The third amenity you should look for is the kitchen, this will mostly depend on your caterer and the menu you decide to serve. The kitchen should be clean and hygienic and should be equipped enough to serve hot food to your guests. Last but not least, you must look at the décor and technology. Décor includes lighting and technology includes acoustics, audio cables, and wifi accessibility. They play a crucial role depending on the nature of your event. Speakers and audio capabilities are important especially in awards shows and corporate party.

AMBIANCE AND VENDOR

Any event to go smoothly, you will have to make sure to use the right vendors, from event planners to caterers. Further, look for a venue that matches the style of your event. An ambiance that will make your guests enjoy. You can choose a venue based on professional, casual and private ambiance.

BUDGET

Stick to your budget, chalk out the cost of the venue and other additional fees that you will incur to create the atmosphere you wish. Consider additional charges that will be added to your base prices such as contracting rentals or any additional insurance.

As you can see, there’s a lot to consider when choosing your event’s venue. However, if you take the above into consideration when doing your research, you’ll find the perfect venue for your event
