Corporate Events during Times of COVID

Yes, there’s a pandemic and it’s lethal, but that doesn’t mean your corporate events calendar has to go down the drain too.

In fact, the sooner your business events are back on track, the better chance you have, at not only surviving but also thriving. And, as the experts in corporate event planning, we know this all too well.

In the past few months, businesses that have either canceled or rescheduled their calendar of events, have taken the biggest hit. Most have resulted in laying off their workers, while others, look to close down indefinitely.

So how can you as a company manage to hold face to face events, and still keep everyone healthy?

Well, here are some of the things you must first consider.

The Location

Of course, there’s no way you’d expect people to travel from far, just to attend one event with everything that’s going on. So instead, pick a location where most of the attendees can drive, or get to,  in less than four hours.

Convenient access makes people feel much more at ease compared to when they travel for long hours. As a bonus, the location should also be private, with little activity as possible.

Number of Guests

So normally, you’re used to holding events with thousands of people in attendance, but right now, that’s not possible. In fact, most venues won’t allow capacity that exceeds their threshold.

You must have a number that matches the venue’s capacity while still maintaining social distance. For example, a table that normally serves four people will only have two instead.

Venue

There are certain expectations that come with holding a corporate event. Therefore, the venue must meet people’s expectations, especially on matters of COVID.

So, what are some of the things you should look at before settling on a certain venue?

Safety as a Precaution

Safety comes first, and so a venue worth your time should have the basic tools necessary in case of any situation. It should at least have;

  • A Thermal scanning device
  • An effective sanitation policy
  • Procedures for contact tracing

Space

When you already have a figure of the people to attend, the next step is to find a pace big enough to accommodate everyone. That is of course, with regards to the laid down protocols.

Comfort

As a way of reducing movements, pick a place where almost everyone is comfortable sitting for the whole duration.

Outdoor vs Indoor

Research shows that the virus is likely to spread more when in enclosed spaces than in open air. As such, it is better to hold an outdoor event, even if it’s just by the garden.

Benefits of Partnering with a Corporate Event Organizer at this Time

They Handle All the “Dirty Work”

Needless to say that planning, leave alone organizing an event at this time, is a total headache. There’s a lot to do, and so much to consider before the real thing happens.

So why not leave all of it to the pros?

A good event planning company plans and partners with a hotel, or any other venue beforehand. They look at the numbers closely, calculate the risks, and come up with a suitable strategy to counter.

They Market your Event

At this moment in time, people have the right to decline an offer to attend your event. Even if it’s your employees, and you can’t blame them, they’re just looking out for their health.

So, the best way to get them there is to convince them through marketing strategy. Organizers show them that it’s safe and have everything under control.

You get a Fresh Pair of Eyes

When it’s a week or day to the event, you’ll need every help you can get to make sure everything is set and ready to go. There’s always a rush at such moments and therefore, having a second pair of eyes to record every detail won’t hurt.

To wrap it up

Times have changed and going forward things might get tougher. It’s time we embrace the new normal, whatever that, looks like. Besides, it’s clear that there’s a long way to go before a vaccine comes up. It’s time we stop complaining and start acting.
