We all will agree that we are not over the pandemic yet. Technically, we have survived Coronavirus, but the new variant Omicron is still very much in town, so the safety and precautions for hosting events are still in place.

The pandemic truly affected all spheres of life, which prompted events to be anchored virtually and a decrease in revenue for event space before the ease of lockdown. Now, we are free to host events, but with strict precautions, of course. This, coupled with the stress of providing all the necessary amenities for your guests, can be overwhelming for event planners but do not despise; we’ve got you covered.

Tips For Finding A Safe And Private Event Space

1. Don’t Leave It Too Late

The earlier you start searching for the perfect event space for your event, the better for you and the attendees. With this proactive action, you can search for the event space of your choice and within your budget, considering the space requirements and estimated event size.

An ideal way to go about this is to book an event space 8 months to the proposed date so you can have enough time to plan for other important things like securing your speakers, ticket sales, provision of security, etc.

2. COVID-19 Safety Measures

The existing pandemic rule indicates that a gathering shouldn’t be more than 1,000 indoor and above 10,000 outdoor with precautions like social distancing and the use of a nose mask to curb the transmission of the virus.

The health of your attendees should be the utmost priority when finding event space. Although this might be different in other countries and to ensure this, make sure you find an event space that provides private rooms for small gatherings, an open roof, and high-quality HVAC supplies. Also, screen guests even if they are not in a large number and encourage contact tracing to be on the safe side.

Finding an event space that offers all these might seem like a fallacy, but coworking spaces offer it all. They offer different event spaces for different purposes with standard seat arrangements. 

3. Host In A Central Location

If you’re hosting an event meant for people from outside of your country of residence, then make sure to choose a great location that won’t be difficult to locate; choose a location close to a popular landmark with a spacious car park. 

4. Pay Attention To The Amenities

Never should you give priority to entertainment over your presentation tools. The goal of your event is to fulfil the needs of your attendees by making sure they all got what they came for. 

Imagine prioritizing entertainment, and most of your guests didn’t understand a single thing being talked about at the event. Providing interpreting booths, high-quality speakers, fast and secured WiFi, etc., should be the utmost priority.

5. Know Your Capacities

From the tickets sold, you can deduce the number of guests you will be expecting. Don’t give room for assumptions that a certain number of people will not be attending. For every 300 registered guests, the probability that 250 guests will make attendance is zero, but the probability of all 300 guests making attendance is half.

This means it is almost certain that all 300 guests that bought tickets will attend and the probability of 50 of the guests not attending is uncertain, so make preparations for 300 even if some will not attend.

6. Know Your Audience

Whether you’re hosting an event for small, mid-sized or big businesses, it is important you know your audience. Hosting an event on the beach seems like a cool idea considering the aesthetic and nature surrounding it, but wouldn’t it look awkward hosting a business summit for engineers at the beach? The location design of the event space matters a lot.

7. Costs

Time to work within your allocated budget; this is where the plan to rent an event center might fail, and coworking space comes in to save the day. Coworking spaces fit in perfectly with all your worries. About the location, most are situated in a perfect location.

When it comes to communication tools, car parks, and health measures, coworking spaces offer it all.
